Administrator & Finance Coordinator 

Hours: 3 days per week
Location: The selected candidate will work from Feminist Library, Peckham, South East London for at least 1 day per week. 
Days are flexible, but should be during the Library’s opening hours – some training may take place on weekends, some organisational meetings will take place on weekday evenings. 
Salary: £13.5 per hour, 8 hrs per day, 3 days per week
This is an ongoing post with a 3-month probationary period.

The Feminist Library is seeking a proactive and highly organised person to join our small team in the role of Administrative Coordinator. 

Founded in 1975, the Feminist Library is a large collection of Women’s Liberation Movement literature based in Peckham, South East London. We are a library and community space and we support research, activist and community projects. We have created and looked after one of the most important collections of feminist material in the UK, and provide an inspiring learning and social space. 

The Administration Coordinator has a busy role, creating and maintaining administrative systems for an organisation composed largely of volunteers. The selected candidate will work independently to provide wide-ranging support to the team of volunteers, paid workers and trustees, within an organisation led by a management collective which strives to make decisions through a participatory consensus model. The role requires someone highly organised, capable of working independently, communicating effectively and problem-solving. 

The role would suit someone with an understanding of, and commitment to, intersectional feminism; a grasp of the challenges of administration for a small organisation and a familiarity with legal requirements for charities and small businesses in the UK.

Responsibilities:

General Admin (equivalent to 2 days per week)*

  • Managing a busy inbox/forwarding relevant emails to the correct person or team/sharing important information with the collective via email list and Slack. 
  • Scheduling events/room bookings on the team calendar.
  • Responding to emails regarding collaborations/proposals.
  • Being a point of contact for the library, on-site and via emails/phone. 
  • Receiving mail, filing correspondence.
  • Opening the Library one day per week.
  • Meeting and greeting visitors to the Library/showing them around.
  • Managing the collective’s G-drive and updating it regularly, so all information is correct and shareable.
  • Creating agendas for monthly management meetings with feedback from collective/sending out zoom and calendar invites.
  • Assisting with co-ordination of the opening of the Library in collaboration with Library Co-ordinator/other members of the collective. 
  • Liaising with other tenants of the Community Centre and the building management.
  • Liaising with Southwark Council/property team.
  • Organising training and strategy meetings.
  • Ad hoc website changes, in collaboration with the Comms Coordinator.
  • Managing annual leave calendar. 
  • Checking policies are up to date in collaboration with Trustees. 
  • Co-ordinating annual submissions to Charities Commission, updating profile as necessary. 
  • Ensuring premises are tidy/clean.

Finance (equivalent to 1 day per week)*

  • Paying and issuing invoices.
  • Managing Quickbooks reconciliations.
  • Liaising with accountants and Trustees for submission of Annual Accounts. 
  • Liaising with accountants on pensions and payroll. 
  • Managing direct debits/insurance/business rates/rent.
  • Updating the cashflow.
  • Working with Finance Working Group on projections and budgeting. 

*Although the role covers both areas, we will consider applications to only one area, either General Admin or Finance, and will consider a job-share. 

Specifications: 

The candidate will: 

  • Be confident working independently to create and maintain administrative systems. 
  • Be experienced in financial management, budgeting and bookkeeping, ideally familiar with Quickbooks accounting software. 
  • Be familiar with small-company and charity filing requirements with HMRC, Charity Commission. 
  • Have an interest in, and commitment to, feminism, and be confident representing our organisation to a variety of stakeholders. 
  • Have an understanding of working with relevant administrative tools; Microsoft Office etc. 
  • Have an understanding of, and enthusiasm for, working within grassroots organisations.

Library Coordinator

Hours: 12 hours per week (freelance)
Location: The selected candidate will work from Feminist Library, Peckham, South East London for at least 1 day per week (6 hours for opening the library) 
Days are flexible, but should be during the Library’s opening hours – some training may take place on weekends, some organisational meetings will take place on weekday evenings. 
Salary: £13.5 per hour
This is currently a temporary role for 6 months through our current Warm Spaces Crowdfunder, however this could change depending on the financial situation of the library.

  • Liaising with volunteer coordinator to coordinate new and existing library volunteer openers
  • Ensuring a rota system is in place for each week for library opening
  • Liaising with admin and comms and other organizations in the building to create events aimed at the community such as Tech mornings, coffee mornings with the help of volunteers
  • Ensuring volunteers are fully trained with opening and feel confident 
  • Liaising/coordinating events and room hires with admin staff
  • Assisting with any facilities/premises meetings amongst the collective and STC tenant’s group
  • Opening and closing the library for one day a week (Tuesdays – required)
  • Attending management meetings with the collective (Tuesday or Thursday evenings, once a month)
